Travel Papers & Non US Club Soccer Teams

The 2008 Rocky Mountain Cup and College Showcase is sanctioned by US Club Soccer. If your team is not a member of US Club Soccer then you will need Travel Papers, even if your team is from Colorado. Club teams registered as USYSA teams via their state associations are required  to notify their state association when they are coming to an out of town tournament, OR a non-USYSA sanctioned tournament via an application for travel papers. The travel papers ensure that your team is insured so it’s extremely important that you get these papers.

How do you get travel papers? Talk to your club’s Head Coach or a manager from an older age group that is experienced with out-of-state travel or you can call your State Association for instruction. Some State Associations just flat out refuse to issue travel papers for teams to attend a non-USYSA sanctioned tournament because US Club Soccer is a competitor of USYSA and an equal member of the USSF. While this action is against the rules of the USSF, it would probably take longer to dispute it than to contact US Club Soccer to organize either tournament insurance or membership. See below on how to acquire either tournament insurance or US Club Soccer membership.

If you are from Colorado you are probably puzzled because you aren’t traveling anywhere – Colorado Youth Soccer made a rule that you must notify them when you are playing in a non-State sanctioned event, i.e., the Rocky Mountain Cup & College Showcase tournament.

In order to apply for Travel Papers your state is going to want a SANCTION DOCUMENT. You can download it here.

If you have trouble opening the file from the email, save it to your desk top and open Acrobat Reader, then open the file from within the program.

Travel rosters are part of the travel paper package – usually there’s a letter or form and then a roster. The roster shows us the players that have been covered until the travel papers for insurance purposes – therefore, we verify this roster against your player cards at check-in.

Original travel papers and travel rosters are to be turned in at team check-in so please ensure you make a copy for your Mangers Book before you get here.
You do not have to send us the paperwork before Team check-in.  Just bring them to team check-in.

*** NOTICE TO NON US CLUB SOCCER TEAMS***

If you can not get travel papers from our state association you CAN we still come to the Rocky Mountain Cup and College Showcase.

In most cases, all you need to do is acquire US Club Soccer tournament insurance for your team.

Non-Members Below are forms that can be used if you’re not a member of US Club Soccer, but have been invited to attend a US Club Soccer tournament, and either cannot obtain insurance coverage or travel permission from your state association to attend.

Note that under USSF Policy 601-7 your state association cannot interfere with or deny you the right to attend another USSF member-sanctioned competition (other than for legitimate disciplinary reasons).  They can refuse to cover you with insurance.  You should clarify what they will do well in advance of the event.  Each state has different rules, and you may or may not still need to complete a travel request, or give them travel notice.

OPTIONAL TOURNAMENT INSURANCE: If you are having a problem getting insurance coverage from your state association to attend a US Club Soccer sanctioned tournament, you may obtain insurance from US Club Soccer $50/team.  This provides insurance only, and you do not attend as a US Club Soccer tournament team member. There is a limit of 26 players per team.   Under this program, the team still gets travel permission, if required, from its state, and uses its own USYS player cards, but is covered by the US Club Soccer insurance policy.  In most cases, this should be all that is needed.  Please note that once your request has been submitted, NO refunds will be issued.

>TOURNAMENT INSURANCE REGISTRATION

TEMPORARY TOURNAMENT TEAM PARTICIPANT:  Despite the prohibition of USSF Policy 601-7, if the state says you may not attend, please contact us and we will try to clarify the situation.  However, you may also attend as a tournament team member.  Under this option, you are actually registering the team with US Club Soccer, and receiving player cards and insurance coverage from us. The cards expire at the end of the tournament. There is a limit of 26 players per team.  While this is permissible (we register you with the Federation, etc.), it is somewhat more expensive ($8 each card) and a little more time consuming, and again, generally should not be necessary.  Allow 2 weeks for issuance of cards.  Please note that once your request has been submitted, NO refunds will be issued.

Complete the Application, the Roster Form and staff members complete the Staff Risk Assessment Form.
